This opportunity is full time 6 month contract with an opportunity to extend as the role evolves. We can be flexible around the hours of work for the right candidate. The office is located right in the heart of the CBD, very close to public transport.
  
The Role
Reporting to the Managing Director, this is a hands-on support role where you will be the heart beat of our office, supporting the Melbourne recruitment team with administration, marketing and graphic design support as well as ensuring the team run as smoothly as possible.

Bringing a positive energy to everything you do, your responsibilities will include but not limited to:
  • Manage candidate registrations, compliance and payroll documentation,
  • Process VEVO checks and assist with resume formatting and reference checks.
  • Coordinate weekly staff rosters and approved leave with the Recruitment Manager
  • Manage internal systems including data migration, implementation, cleansing and profile management in the ATS.
  • Maintain office and kitchen supplies, ensure meeting rooms are tidy, handle errands and building management issues
  • Bring your creativity to the role! Design Canva posts, invitations, Linkedin and event materials that showcase our brand and culture
  • Organise company events, team lunches, and celebrations, including catering, gifting and vendor communication
  • Support new employees with systems training and keep guides, manuals, and processes up to date
  • Reconcile invoices and follow up on outstanding payments.
  
What will you need to succeed?
  • Proven experience in a team administration role with exposure to graphic and design tasks in a fast paced environment
  • A creative flair with graphic experience using Canva, Linkedin and social media
  • Exposure to campaign software eg. Mailchimp or Active Campaign would be highly desirable
  • Excellent attention to detail and the ability to prioritise and work well under pressure
  • A mature, warm, and approachable communication style
  • Flexibility and a genuine “can-do” attitude to support the wider team
  • A proactive, team-oriented mindset and a true love for supporting others
