An exciting opportunity exists for an experienced Senior Administrator/PA/Events Coordinator to work in one of Australia's dynamic not-for-profit organisations who really looks after their people. The company is based in the CBD/East Melbourne and boast lovely modern offices which makes coming into work a little easier!
The Role
Working closely with the Events Manager, you will be responsible for providing administration support to the organisation's events, activities and programs.
Your duties will include but not be limited to:
- Coordinate event bookings and manage guest lists
- Liaise with venues and vendors to confirm final numbers, dietary requirements, and event logistics
- Organise guest seating, dietary allocations, name tags, and place cards
- Manage relationships and communications with guest speakers, VIPs, and sponsors
- Transport equipment to venues and oversee event setup
- Set up banners, AV equipment, and ensure the room layout is correct
- Welcome unregistered guests and allocate seating or entry as appropriate
What will you need to succeed?
- Demonstrated experience in an events/PA/administration support role in a fast paced environment
- Advanced Microsoft Office, particularly Microsoft Word (mail merge)
- Organisational skills, time management and ability to work to strict deadlines
- Strong stakeholder management skills
- Be a self starter who can work both autonomously and in a team environment
- Have a "can-do" and enthusiastic attitude
